Introduction

This privacy policy applies to the processing of personal data on the website www.motosolution.pl (hereinafter the "Service"), by the Company AutomotiveSuppliers.pl Zborowska-Stęplewska, Orłowski Sp.j., with its registered office in Warsaw, in connection with the organization and participation of Users in the 14th MotoSolution 2025 Forum to be held on 20-21.11.2025r. in Krakow (hereinafter the "14th MotoSolution 2025Forum").

Who is the controller of personal data?

The administrator of personal data of Users participating in the 14th MotoSolution 2025 Forum is the Main Organizer (hereinafter referred to as the "Organizer") of the 14th MotoSolution 2025 Forum - the company AutomotiveSuppliers.pl Zborowska-Stęplewska, Orłowski Sp.j. with its registered office in Warsaw, ul. Staniewicka 14, 03-310 Warsaw entered in the Register of Entrepreneurs kept by the District Court for the Capital City of Warsaw in Warsaw, XIII Commercial Division of the National Court Register under the KRS number 0000761986, NIP 5242644784, REGON 141411604, (hereinafter referred to as the "Administrator").

General provisions

The Policy has been created so that the User of the 14th MotoSolution 2025 Forum can easily see how the Organizer processes his/her personal data, what kind of data it is and why he/she does it, i.e. what is its purpose. In this document you can also see who the Organizer is, how to contact him/her in connection with the personal data of the User of the 14th MotoSolution 2025 Forum, as well as what rights he/she has.

In connection with the organization of the 14th MotoSolution 2025 Forum, the Organizer collects, gathers and processes personal data in accordance with applicable regulations, including in particular the RODO (Regulation of the European Parliament and of the Council (EU) 2016/679 of April 27, 2016. on the protection of individuals with regard to the processing of personal data and on the free flow of such data and the repeal of Directive 95/46/EC and the rules for processing personal data provided for therein, and in accordance with the Personal Data Protection Act of August 29, 1997 (Journal of Laws 1997 No. 133, item 883, as amended) (hereinafter referred to as the Personal Data Protection Act) and the Electronic Services Act of July 18, 2002 (Journal of Laws 2002 No. 144, item 1204, as amended).

The Organizer complies with the principles of personal data protection, using appropriate technical
and organizational measures to prevent accidental or unlawful destruction, loss, modification or unauthorized access to personal data processed by Users in connection with the organization of the 14th MotoSolution 2025 Forum.

The Service may include external links that allow Users to navigate via hyperlink to the websites of the Partners of the 14th MotoSolution 2025 Forum. When using the Service, cookies from other entities may additionally be installed in Users' devices, in particular from providers such as LinkedIn, Facebook, Instagram, in order to allow Users to take advantage of the functionality of the Service integrated with these providers. What data is collected and processed?

In the Service are processed:

  • data collected automatically: data about the User's visit to the Website, in particular his/her IP address, domain name, browser type, operating system type. For more information, see "Use of cookies".
  • Data collected and necessary for the performance of the contract (User's participation in the 14th MotoSolution 2025 Forum): Users' data included in the registration form, in particular name and surname, company name, e-mail address, telephone number.
For what purpose and on what basis are personal data processed?

Personal data is processed for the following purposes:

  1. Performance of the agreement (participation of the User in the 14th MotoSolution 2025 Forum);

  3. entities or bodies authorized under the law;

The period of processing of Users' personal data depends on the purpose for which the data is processed. The period for which the data will be kept is determined based on the following criteria:

  1. legal provisions that oblige the Organizer to process the data for a certain period of time;
  2. The period necessary for the performance of the contract (user participation in the 14th MotoSolution Forum 2025);
  3. period that is necessary to protect the interests of the Organizer (including the assertion and defense of claims);
  4. period of time necessary to provide the Organizer's services and provide the necessary service to the User;

What are the rights of the User?

The user has the right, at any time, to:

  6. to withdraw consent to data processing, whereby withdrawal of consent does not affect processing performed by the Organizer lawfully before its withdrawal;
  7. lodge a complaint with the supervisory authority dealing with the protection of personal data.
What are the consequences of not providing data?

Provision of data is voluntary but may be a necessary condition for the conclusion of the agreement (participation of the User in the 14th MotoSolution 2025 Forum) or provision of services. Without providing them, the agreement cannot be concluded and implemented.

The Organizer uses systems for automated decision-making. The following decisions are made by automated means:

The Cookies used are safe for the User's device. In particular, by this means it is not possible for viruses or other unwanted software or malware to enter the Users' devices. These cookies allow to identify the software used by the User and adjust the settings of the site individually for each User. Cookies usually contain the name of the domain from which they come, the time they are stored on the device and the assigned value.

Additional information about Social Tools plug-ins
The Service uses plugins and other social tools provided by social networks such as Facebook, , Google, LinkedIN.

When displaying the Site, containing such a plug-in, the User's browser will establish a direct connection to the servers of social network administrators (service providers). The content of the plug-in is transmitted by the respective service provider directly to the User's browser and integrated into the Website. Thanks to this integration, the service providers receive information that the User's browser has displayed a page of the Website, even if the User does not have a profile with the given service provider or is not logged in with it at the moment. Such information (along with the IP address) is sent by the User's browser directly to the service provider's server (some servers are located in the USA) and stored there.

If the User has logged in to one of the social networks, this service provider will be able to directly attribute a visit to the Site to the User's profile on the relevant social network.

If a user uses a particular plug-in, such as clicking on the "Like" or "Share" button, the corresponding information will also be sent directly to the server of the respective service provider and stored there.

In addition, this information will be published in the relevant social network and will appear to those added as contacts of the User. The purpose and scope of data collection and its further processing and use by service providers, as well as the possibility of contacting and the User's rights in this regard and the possibility of making settings to ensure the User's privacy are described in the privacy policies of individual service providers.

If the User does not want social networks to attribute the data collected during visits to our website directly to the User's profile on a given website, the User must log out of the given social network before visiting the Website. The User can also completely prevent the loading of plug-ins on the Site by using the appropriate extensions for his/her browser, such as blocking scripts, or apply the appropriate settings in the preference center (cookie settings - tab in the footer of the page).
How is personal information secured?

The controller, taking into account the state of the art, the cost of implementation and the nature, scope, context and purposes of the processing and the risk of violation of the rights or freedoms of individuals with different probability of occurrence and severity of the threat, shall apply appropriate technical and organizational measures to ensure the protection of the processed personal data appropriate to the risks and categories of protected data, and in particular shall protect the data against:

  • Their release to unauthorized persons;
  • Taking by an unauthorized person;
  • processing in violation of applicable regulations;
  • alteration, loss, damage or destruction.
Sharing externally detailed information about the technical and organizational measures in place could significantly undermine their effectiveness by compromising proper data protection.
