Introduction

This Privacy Policy applies to the processing of personal data on the website www.motosolution.pl (hereinafter the “Website”) by AutomotiveSuppliers.pl Zborowska-Stęplewska, Orłowski Sp.j., with its registered office in Warsaw, in connection with the organization of and Users’ participation in the 15th MotoSolution 2026 Forum, scheduled to take place on November 26–27, 2026, in Kraków (hereinafterthe “15th MotoSolution 2026 Forum”).

Who is the controller of personal data?

5The controller of the personal data of Users participating in the 15th MotoSolution Forum 2026is the Main Organizer (hereinafter “Organizer”) 15th MotoSolution Forum 2026– AutomotiveSuppliers.pl Zborowska-Stęplewska, Orłowski Sp.j., with its registered office in Warsaw, at ul. Staniewicka 14, 03-310 Warsaw, entered in the Register of Entrepreneurs maintained by the District Court for the Capital City of Warsaw in Warsaw, 13th Commercial Division of the National Court Register, under KRS number 0000761986, NIP 5242644784, REGON 141411604, (hereinafter referred to asthe“Controller”).

General provisions

This policy was created so that users of the 15th MotoSolution Forum 2026can easily find out how the Organizer processes their personal data, what data is involved, and why it does so—that is, what its purpose is. In this document, you can also find out who the Organizer is, how to contact the Organizer regarding the personal data of Users of the 15th MotoSolution Forum 2026, and what rights you have.

In connection with the organization of the 15th MotoSolution Forum 2026, the Organizer collects, gathers, and processes personal data in accordance with applicable regulations, including, in particular, the GDPR (Regulation (EU) 2016/679 of the European Parliament and of the Council of April 27, 2016 on the protection of natural persons with regard to the processing of personal data and on the free movement of such data, and repealing Directive 95/46/EC, as well as the rules on the processing of personal data set forth therein, and in accordance with the Personal Data Protection Act of August 29, 1997 (Journal of Laws 1997, No. 133, item 883, as amended) (hereinafter referred to as the “Act on the Protection of Personal Data”) and the Act on the Provision of Electronic Services of July 18, 2002 (Journal of Laws 2002, No. 144, item 1204, as amended).

The organizer complies with personal data protection regulations by implementing appropriate technical
and organizational measures to prevent the accidental or unlawful destruction, loss, alteration, or unauthorized access to the personal data of Users processed in connection with the organization of the 15th MotoSolution Forum 2026.

The Website may contain external links that allow Users to navigate via hyperlinks to the websites of the Partners of the 15th MotoSolution Forum 2026. While using the Website, cookies from other entities—in particular from providers such as LinkedIn, Facebook, and Instagram—may also be installed on Users’ devices to enable Users to utilize the Website’s features integrated with these providers. The Organizer encourages you to review the terms of use and privacy policies applicable to other websites.

This Policy applies only to the designated activities of the Organizer.

What data is collected and processed?

In the Service are processed:

  • data collected automatically: data about the User's visit to the Website, in particular his/her IP address, domain name, browser type, operating system type. For more information, see "Use of cookies".
  • Data collected and necessary for the performance of the agreement (the User’s participation in the 15th MotoSolution Forum 2026): User data contained in the registration form, specifically first and last name, company name, email address, and phone number.
For what purpose and on what basis are personal data processed?

Personal data is processed for the following purposes:

  1. performance of the agreement (the User’s participation in the 15th MotoSolution Forum 2026);

  1. processors in connection with commissioned activities performed by the Organizer on its behalf (subcontractors of the Organizer including those providing IT, accounting, marketing services to the Organizer);
  2. law firms contracted by the Organizer to provide legal services to the Organizer and the Service;
  3. entities or bodies authorized under the law;
  4. to the entity operating the Service and ensuring its smooth operation located in the European Union;
What is the data processing period?

5The period during which Users’ personal data is processed depends on the purpose for which the data is processed. The period for which this data will be stored is determined based on the following criteria:

  1. legal provisions that oblige the Organizer to process the data for a certain period of time;
  2. the period necessary to perform the contract (the user's participation in 15th MotoSolution Forum 2026);
  3. period that is necessary to protect the interests of the Organizer (including the assertion and defense of claims);
  4. period of time necessary to provide the Organizer's services and provide the necessary service to the User;
  5. the period for which the consent was granted.
What are the rights of the User?

The user has the right, at any time, to:

  3. Deletion of data ("right to be forgotten");
  4. limitation of data processing;
  5. to object to further processing;
  6. to withdraw consent to data processing, whereby withdrawal of consent does not affect processing performed by the Organizer lawfully before its withdrawal;
  7. lodge a complaint with the supervisory authority dealing with the protection of personal data.
What are the consequences of not providing data?

Providing data is voluntary but may be a prerequisite for entering into a contract (the User’s participation in the 15th MotoSolution Forum 2026) or for the provision of services. Without providing this information, the contract cannot be concluded or fulfilled.

The Organizer uses systems for automated decision-making. The following decisions are made by automated means:

On the other hand, to the extent that the Administrator's partners may also have direct access to this information - the legal basis for such processing is the voluntary consent expressed by the User.

The Cookies used are safe for the User's device. In particular, by this means it is not possible for viruses or other unwanted software or malware to enter the Users' devices. These cookies allow to identify the software used by the User and adjust the settings of the site individually for each User. Cookies usually contain the name of the domain from which they come, the time they are stored on the device and the assigned value.

The Administrator provides a tool in the form of a pop'up (a pop-up window), by means of which the User determines his/her preferences and gives the appropriate consents regarding cookies during the first visit to the Website. At any time, the User may revoke the consent given in the preference center ("cookie settings"), available in the Service footer.

Additional information about Social Tools plug-ins

The Website uses plugins and other social media tools provided by social media platforms such as Facebook, Google, and LinkedIn.

When displaying the Site, containing such a plug-in, the User's browser will establish a direct connection to the servers of social network administrators (service providers). The content of the plug-in is transmitted by the respective service provider directly to the User's browser and integrated into the Website. Thanks to this integration, the service providers receive information that the User's browser has displayed a page of the Website, even if the User does not have a profile with the given service provider or is not logged in with it at the moment. Such information (along with the IP address) is sent by the User's browser directly to the service provider's server (some servers are located in the USA) and stored there.

If the User has logged in to one of the social networks, this service provider will be able to directly attribute a visit to the Site to the User's profile on the relevant social network.

If a user uses a particular plug-in, such as clicking on the "Like" or "Share" button, the corresponding information will also be sent directly to the server of the respective service provider and stored there.

In addition, this information will be published in the relevant social network and will appear to those added as contacts of the User. The purpose and scope of data collection and its further processing and use by service providers, as well as the possibility of contacting and the User's rights in this regard and the possibility of making settings to ensure the User's privacy are described in the privacy policies of individual service providers.

If the User does not want social networks to attribute the data collected during visits to our website directly to the User's profile on a given website, the User must log out of the given social network before visiting the Website. The User can also completely prevent the loading of plug-ins on the Site by using the appropriate extensions for his/her browser, such as blocking scripts, or apply the appropriate settings in the preference center (cookie settings - tab in the footer of the page).
How is personal information secured?

The controller, taking into account the state of the art, the cost of implementation and the nature, scope, context and purposes of the processing and the risk of violation of the rights or freedoms of individuals with different probability of occurrence and severity of the threat, shall apply appropriate technical and organizational measures to ensure the protection of the processed personal data appropriate to the risks and categories of protected data, and in particular shall protect the data against:

  • Their release to unauthorized persons;
  • Taking by an unauthorized person;
  • processing in violation of applicable regulations;
  • alteration, loss, damage or destruction.
Sharing externally detailed information about the technical and organizational measures in place could significantly undermine their effectiveness by compromising proper data protection.

For example, the Administrator provides the following technical measures to prevent unauthorized persons from obtaining and modifying personal data sent electronically:

  • Securing the data set against unauthorized access;
  • SSL certificate on the pages of the Service where personal data is provided (Secure Socket Layer)...;

Implemented technical and organizational measures are periodically reviewed and updated.

The Organizer declares that this Privacy Policy is reviewed on an ongoing basis. When revised, it will be published on the Website with a new date.
